Most Indian businesses already use WhatsApp to talk to customers. Moving from the WhatsApp Business app to the API is what makes automation possible, but the setup trips a lot of people up.
App or API?
The WhatsApp Business app is free and runs on a phone. It is fine for a small team replying by hand.
The WhatsApp Business API (now part of Meta’s Cloud API) has no app of its own. It connects WhatsApp to your software, so several people, and an AI assistant, can handle one number, and conversations can sync with your CRM.
What you need to get started
- A Meta Business account, verified with your company documents
- A phone number that isn’t already registered on the WhatsApp app
- A provider, or a direct Cloud API setup
- A display name that matches your brand and follows Meta’s rules
Verification usually takes a few days if your documents and website are in order.
Templates and the 24-hour window
When a customer messages you, you can reply freely for 24 hours. Outside that window, you can only send pre-approved message templates, such as order updates, reminders or offers. Templates are reviewed by Meta, and marketing templates are held to stricter standards.
Plan your templates early. They are the part of the setup that takes the most back-and-forth.
How pricing works
Meta charges per message or conversation, depending on the category: marketing, utility, authentication or service. Service replies inside the 24-hour window are the cheapest. Marketing messages cost the most. Your provider may add a platform fee on top.
Mistakes that get numbers restricted
- Messaging people who never opted in
- Sending too many marketing messages too quickly from a new number
- Ignoring blocks and reports, which lower your quality rating
- Using templates for something other than what was approved
